2. Categories of Personal Information We Handle

The Company operates an AI-powered accounts-receivable collections platform. The personal information we handle includes:

• Identity and contact information you submit when requesting a demo, contacting support, or creating an account (name, company name, email address, phone number);
• Accounts-receivable data submitted by finance teams, including invoice records, debtor contact details, payment history, and collections communications -- this data is processed solely to provide the AR intelligence service and is never used for any other purpose;
• Technical and usage information collected automatically when you visit accordxjp.com (IP address, browser type, pages visited, session duration);
• Analytics data collected with your consent through the cookie notice on this site.

3. Purposes of Use

We use personal information strictly for the following purposes:

• Operating the AccordX platform: processing AR invoice data to generate timing recommendations, channel routing decisions, and message drafts for your collections team;
• Account provisioning and customer support: setting up accounts for finance teams during onboarding and responding to service inquiries;
• Service communications: sending transactional emails, product updates, and renewal notices related to your subscription;
• Product improvement: analysing aggregated and de-identified usage patterns to improve AccordX's AI models -- we do not use identifiable customer AR data or debtor personal information to train models without explicit written consent;
• Legal obligations: retaining records as required under applicable law.

We will not use personal information beyond these stated purposes without your prior consent, except as permitted by APPI.

4. Provision to Third Parties and Cross-Border Transfers

We provide personal information only to processors acting on the Company's behalf under appropriate supervision. Current processors include cloud infrastructure providers hosting the AccordX platform and transactional email delivery services. Where information is provided to processors in foreign countries, we obtain prior consent and provide information about the recipient country's data protection regime, as required by APPI Article 28. We do not sell personal information to third parties.

5. Your APPI Rights

Under APPI, you have the following rights with respect to the Company's retained personal data:

• Right to disclosure of retained personal data;
• Right to correction, addition, or deletion;
• Right to cease use or provision to third parties;
• Right to disclosure of records of provision to third parties.
